From a maze of spreadsheets to one clear system

Clients, services, invoices, and revenue analytics — everything a service business tracked in Excel, rebuilt as one organized, visual workspace.

The situation

Our client ran their entire operation from spreadsheets: one for clients, one for services performed, one for the growing service list, one to track which invoices were sent, and when, and whether they'd been paid on time. It worked — the way a filing cabinet with no labels works if only one person knows the system.

The costs were quiet but constant. Cross-referencing sheets to answer basic questions ("what did we do for this client last year, and did they pay on time?"). Invoices assembled by hand, sent from a personal inbox, tracked by memory. And no way to see patterns — which services earned most, which clients kept coming back, where revenue was heading.

Understanding it together

We started with the spreadsheets themselves — every column, every color code, every abbreviation. Those sheets were a map of what the business actually cared about, so instead of discarding them, we treated them as the requirements document the team had unknowingly been writing for years.

Then we asked the questions spreadsheets couldn't answer: What do you wish you could see at a glance? What do you check before quoting a returning client? What does end-of-month actually look like? The answers defined the dashboard, the invoice flow, and the analytics.

From prototype to delivery

We prototyped the client card first — the single screen showing everything about one client: history, services, invoices, payment behavior. Once that felt right to the team, the rest of the system grew around it.

After design and build, we imported years of spreadsheet history into the new system — cleaned, de-duplicated, and structured — so analytics were meaningful from day one, not from month six. We trained the team, ran both systems in parallel for 3 weeks, then retired the spreadsheets.

The situation

Our client - 

a busy moving company — wasn't short on software. They already had a well-known CRM. On paper, it did everything. In practice, that was the problem: it did everything *except* fit them.

Terms & Conditions - the basics

Having said that, Terms and Conditions (“T&C”) are a set of legally binding terms defined by you, as the owner of this website. The T&C set forth the legal boundaries governing the activities of the website visitors, or your customers, while they visit or engage with this website. The T&C are meant to establish the legal relationship between the site visitors and you as the website owner. 

 

T&C should be defined according to the specific needs and nature of each website. For example, a website offering products to customers in e-commerce transactions requires T&C that are different from the T&C of a website only providing information (like a blog, a landing page, and so on).     

 

T&C provide you as the website owner the ability to protect yourself from potential legal exposure, but this may differ from jurisdiction to jurisdiction, so make sure to receive local legal advice if you are trying to protect yourself from legal exposure.

What to include in the T&C document

Generally speaking, T&C often address these types of issues: Who is allowed to use the website; the possible payment methods; a declaration that the website owner may change his or her offering in the future; the types of warranties the website owner gives his or her customers; a reference to issues of intellectual property or copyrights, where relevant; the website owner’s right to suspend or cancel a member’s account; and much, much more.
